Policy.
What we collect, why we collect it, and what you can ask us to do with it. No dark patterns, no buried clauses. Effective July 26, 2026.
The short version
We collect the details you give us when you book a call or contact us, plus basic analytics about how the Site is used. We use that to reply to you, run our services, and improve our marketing. We don't sell your personal information.
This policy explains it in full, and applies to vo360.net and the forms, booking tools, and messaging channels connected to it.
Information you give us
- Contact details — name, business name, email address, phone number.
- Business context — your industry, service area, website, current tools, and what you're trying to fix. Whatever you choose to share in a form, chat, or call.
- Scheduling details — the time you book and any notes you add.
- Messages — emails, SMS, chat, and social messages you send us, including their content.
- Client materials — if you become a client, the logos, photos, videos, copy, and account access you provide so we can do the work.
Information collected automatically
- Device and browser information, approximate location derived from your IP address, and your IP address itself.
- Usage data — pages viewed, referring page, links clicked, time on page, and similar interaction data.
- Cookies and similar technologies, including pixels used for analytics and advertising measurement.
We do not collect special categories of personal data (such as health or biometric data), and we do not knowingly collect information from anyone under 18.
How we use your information
- To respond to your enquiry, run your audit, and prepare a proposal.
- To deliver, operate, and support the services a client has engaged us for.
- To send service messages, appointment reminders, and follow-ups.
- To send marketing you've opted into — and to stop sending it as soon as you opt out.
- To measure and improve the Site, our content, and our advertising.
- To keep the Site secure, prevent abuse and fraud, and meet our legal and accounting obligations.
We do not sell your personal information, and we do not share it with third parties for their own independent marketing.
Legal bases (for visitors in the EEA and UK)
- Consent — for marketing messages and non-essential cookies. You can withdraw it at any time.
- Contract — to take steps you've requested and to deliver services we've agreed to provide.
- Legitimate interests — to run, secure, and improve our business, in a way that is balanced against your rights.
- Legal obligation — for tax, accounting, and record-keeping requirements.
Cookies and tracking
We use cookies and similar technologies to keep the Site working, remember preferences, understand which pages perform, and measure our advertising. This can include analytics tools and advertising pixels from platforms such as Meta and Google.
You can block or delete cookies in your browser settings, and you can opt out of personalized advertising in your ad-platform settings. Blocking some cookies may affect how parts of the Site work.
Service providers we share data with
We share information only as needed with providers who process it on our behalf under contract, including:
- Hosting, infrastructure, and site analytics providers.
- CRM, scheduling, email, and SMS platforms used to manage and reply to enquiries.
- Advertising and measurement platforms, such as Meta and Google.
- AI tools used to draft, generate, or edit content — we do not send them more personal data than a task requires.
- Payment, invoicing, and accounting providers.
- Professional advisors, and authorities where the law requires it.
If our business is ever sold or reorganized, information may transfer to the acquiring party under this policy.
International transfers
We work primarily with businesses in the United States, and our providers may store or process data outside your country — most commonly in the United States and the European Union. Where required, we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.
How long we keep it
We keep enquiry data for as long as needed to follow up and for a reasonable period afterwards, client records for the life of the engagement plus any legally required retention period, and analytics data in aggregated or de-identified form. When information is no longer needed, we delete or anonymize it.
Security
We use reasonable technical and organizational measures — encrypted connections, access controls, and vetted providers — to protect your information. No system is completely secure, so we can't guarantee absolute security, but we take it seriously and act quickly if something goes wrong.
Your rights and choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you, and get a copy of it.
- Correct information that's inaccurate or incomplete.
- Delete your information, subject to legal retention requirements.
- Object to or restrict certain processing, including direct marketing.
- Withdraw consent at any time, without affecting processing already carried out.
- Not be discriminated against for exercising any of these rights.
To exercise any of these, email hello@vo360.net. We'll verify your request and respond within the time the applicable law allows. To stop marketing immediately, use the unsubscribe link in any email or reply STOP to any SMS.
Third-party sites
The Site links to third-party platforms such as Instagram and to embedded scheduling and chat tools. Their privacy practices are their own, and we encourage you to read their policies before sharing information with them.
Changes to this policy
We'll update this policy as our services and tools change. The current version is always posted here with its effective date, and material changes will be made clear on this page.
